How this Kynvera workspace handles personal data for the organisation that operates it.

Who this applies to

This page describes the operations platform running on this host. Your organisation is the controller of staff, contractor, and site records held here. Kynvera provides the software and hosting used to process that data on the organisation’s instructions.

What we process

Depending on which modules you can access, the workspace may hold names, work emails, phone numbers, job titles, project assignments, login and audit logs (including IP address and timestamps), signatures captured on device, photos from inspections, HR form contents, and similar operational records.

Why we process it

To run the workspace: sign-in and access control, routing and approvals, generating PDF/Excel/Word output, sending notification emails, audit, and keeping the service secure. Optional two-factor sign-in stores a TOTP secret on your account.

Sharing

Records are visible to people in your organisation who have been granted the relevant module access. Hosting, email delivery, media storage, and similar processors may receive data as needed to run the service. We do not sell personal data.

Retention

Accounts and records stay until your organisation’s administrators deactivate or delete them, subject to audit and legal hold requirements they set. Password-reset links expire after one hour.

Your choices

Ask your administrator to correct your profile, reset access, or handle a deletion request. You can change your password from your profile after sign-in, or use the forgot-password page if you cannot sign in.

Security

Traffic is served over HTTPS. Actions that matter are written to an audit log. Report a suspected incident to your administrator immediately.
